Information you give us directly
If you complete the eligibility form, we collect the first name, last name, email address and phone number you enter, along with your preferred way to be contacted and the answers you give about your service and claim.
That form includes a consent checkbox. Ticking it means you are asking to be contacted about your claim by phone, text or email. You do not have to tick it, and you do not have to use the form at all.
Information in the veteran, provider and network portals
The portals are behind a sign-in. Once you have an account, the platform holds the information needed to work your claim: your contact details, the claim itself and its stage history, documents you or your providers upload, questionnaire answers you submit, and messages exchanged with staff.
Some of that is health information, because a VA disability claim is built from medical evidence. It is handled under access controls designed for that: each account sees only its own records, enforced in the application and again in the database, and every read of sensitive information is written to an audit log.
Information collected automatically
Standard web-server and security telemetry: IP address, browser type, pages requested, and timestamps. It is used to keep the service running and to detect abuse. The eligibility form is rate-limited by IP for that reason.
This site does not run advertising trackers and does not sell or share personal information for advertising.
Who else sees it
Veteran Benefits Guide staff working your claim, and Atlas Ops, which builds and operates the platform for VBG.
Service providers are used for specific functions and receive only what that function needs: Amazon Web Services hosts the platform and sends transactional email; Amazon Cognito handles sign-in; DocuSign handles electronic signature when you are asked to sign something; Datadog receives operational monitoring data. We do not sell personal information.
How long we keep it
A defined retention and deletion schedule is still being determined with counsel, because the applicable rules for an accredited claims representative are not settled by a single statute. Rather than state a period we have not decided, we are saying plainly that it is open. If you want your information deleted, contact us and we will tell you what we can do and when.
Security
Information is encrypted in transit and at rest. Direct identifiers such as Social Security number and VA file number are stored encrypted rather than in readable form, and are not returned to everyday screens. Staff access is role-based and requires multi-factor authentication. Reads of sensitive records are logged, and unusual access volumes are monitored.
No system is perfectly secure, and we do not claim otherwise.
Current status of this platform
The claim records shown in demonstrations of this platform are synthetic - created for testing, not belonging to any real person. The eligibility form on this site is the exception: if you fill it in, you are giving us your real details, and they are stored.
